Why total-mile rate matters

Gross rate per loaded mile ignores the empty miles required to reach pickup, reposition after delivery, or return to a stronger freight market.

Effective revenue per total mile divides the same gross pay by every route mile. The difference between loaded-mile and total-mile rates makes the revenue dilution from deadhead visible.

Deadhead also creates direct fuel and operating cost. A practical rate decision should consider both the lower effective revenue and the cost of the empty segment.

Deadhead formulas and worked example

Deadhead percentage: deadhead miles ÷ total route miles.

Deadhead fuel cost: deadhead miles ÷ MPG × diesel price.

Deadhead non-fuel cost: deadhead miles × non-fuel operating cost per mile.

Rate reduction: gross pay ÷ loaded miles − gross pay ÷ total miles.

Recovery rate: total deadhead cost ÷ loaded miles.

Example: a $1,500 load with 500 loaded miles and 100 deadhead miles has a $3.00 loaded-mile rate but only $2.50 per total mile. At 6.5 MPG, $3.75 diesel, and $0.85 non-fuel cost per mile, those empty miles cost about $142.69 and require roughly $0.29 more per loaded mile to recover.

What counts as deadhead miles?

Include unpaid miles driven empty to pickup, after delivery, between opportunities, or back toward home when those miles are part of the load decision.

What is a reasonable deadhead percentage?

There is no universal target. Lane, region, equipment, season, appointment constraints, and the value of the next load all matter. Track your own percentage and cost over time.

Why is rate reduction different from deadhead cost?

Rate reduction measures how empty miles dilute gross revenue per mile. Deadhead cost estimates the fuel and non-fuel expense created specifically by those miles.

Can a load with deadhead still be profitable?

Yes. Strong gross pay, a good destination market, or strategic repositioning may justify deadhead. Evaluate total-mile revenue, operating cost, time, and reload probability together.

How can I recover deadhead cost?

The recovery-rate result shows the additional loaded-mile rate needed to cover the estimated direct cost of the empty miles. It does not guarantee a target profit margin.
