Guest count and meal style
Food estimate
Use confirmed RSVPs when available. Until then, a food buffer is usually safer than exact-count planning.
Appetizer estimate
For appetizers-only receptions, use this number as a primary planning count. For buffet, plated, and BBQ meals, treat it as optional cocktail-hour help.
Food cost estimate
Common food planning assumptions
Food planning depends on service style, menu, guest mix, and event length. These assumptions are practical starting estimates, not catering rules.
| Meal type | Planning assumption |
|---|---|
| Plated dinner | 1 meal per confirmed guest |
| Buffet | 1.05-1.15 meals per guest |
| BBQ/casual meal | 1.05-1.15 meals per guest |
| Appetizers only | Estimate by pieces per guest per hour |
| Dessert reception | Less savory food, more dessert portions |
| Vendor meals | Usually separate from guest meals |
Food buffer
Food is one of the places where running short feels worse than having leftovers. For buffet or self-serve meals, a 10% buffer is usually safer than calculating exact guest count only.
Plain-English guide
Start with your best guest count, separate children from adults if the menu or price is different, and count vendor meals separately. Buffet and BBQ meals often need a little extra because guests serve themselves.
For cocktail hours or appetizers-only receptions, appetizer pieces per guest per hour matter more than meal count. For a full dinner, appetizer estimates are still useful for pre-dinner planning.
If you are still estimating attendance, use the Wedding Guest Count Calculator first, then bring that headcount back here for food planning.
For drinks, use the Wedding Drink Calculator to estimate beer, wine, non-alcoholic drinks, water, and drink costs.
For budget planning, use the Wedding Budget Calculator to combine catering, venue, vendor categories, contingency, and cost per guest.
Wedding food FAQ
How much food do I need for a wedding?
Start with the confirmed guest count, adjust for children and vendors, then add a small buffer for buffet, BBQ, or self-serve meals.
Should I add extra food for a buffet?
Usually yes. Buffet and casual meals are harder to portion exactly, so a 5%-15% buffer is a common planning range.
Do vendors need meals at a wedding?
Many photographers, DJs, planners, and other vendors need meals if they are working through dinner. Check each contract and count vendor meals separately.
How many appetizers do I need per guest?
For a cocktail hour before dinner, fewer pieces per guest may be enough. For appetizers-only events, plan more pieces per guest per hour because appetizers are the main food.
Should children count the same as adults for wedding food?
Not always. Children may need smaller meals or different menu pricing, so this calculator keeps child count and child meal cost separate.
How much food should I order if not everyone RSVPs?
Use the best available attendance estimate, then update the order when final RSVPs arrive. If responses are missing, leave time to follow up before submitting final catering counts.
