How to review an asphalt quote
A price difference is a prompt for questions, not proof that a quote is too high or too low. Confirm that every proposal covers the same scope before comparing totals.
- Confirm measured square footage, compacted lift thickness, tonnage, and waste allowance.
- Ask whether grading, drainage work, base repair, removal, milling, hauling, and disposal are included.
- Check whether mobilization, permits, traffic control, striping, cleanup, warranty, and insurance requirements affect the price.
- Consider access limits, local plant prices, hauling distance, minimum material orders, and difficult site conditions.
- Compare specifications, schedule, payment terms, and contractor qualifications along with price.

Loaded labor cost
A loaded hourly rate starts with wages and may also include employer payroll taxes, workers' compensation, benefits, paid time, and other labor burden. Enter the burdened rate your business actually uses rather than treating hourly wages as the full labor cost.
Crew-hours equal worker count multiplied by hours for each role. Revenue per crew-hour divides the recommended bid by total crew-hours; it is a production-planning measure, not employee pay.
Formulas and assumptions
Area: direct square footage when entered; otherwise length × width.
Cubic feet: square feet × compacted thickness in inches ÷ 12.
Layer quantities: each enabled surface, intermediate/binder, asphalt-base, or aggregate/recycled-base course uses the shared area and its own compacted thickness, density, and waste allowance. Disabled layers contribute zero without losing their entered values.
Asphalt tons: cubic feet × compacted or in-place planning density in pounds per cubic foot ÷ 2,000. Total asphalt tons sum only enabled asphalt courses.
Waste-adjusted quantity: tons or cubic yards × (1 + waste percentage ÷ 100).
Material cost: waste-adjusted tons × price per ton, or waste-adjusted cubic yards × price per cubic yard for aggregate or millings when that pricing method is selected.
Aggregate order: waste-adjusted cubic yards are rounded up to the selected ordering increment; truckloads use the greater of volume-capacity or weight-capacity needs.
Recovered millings: reuse is capped by both the recovered quantity available and the millings quantity required. Purchased millings cannot be negative, and a reuse credit is subtracted once.
Labor cost: sum of worker count × hours × loaded hourly rate for each role.
Equipment cost: paver, roller, and skid-steer hours × hourly cost, plus other equipment.
Direct project cost: material, base stone, removal, hauling, mobilization, labor, equipment, and other direct costs.
Overhead and contingency: each percentage is applied to direct project cost, then added to cost before profit.
Recommended bid: cost before profit ÷ (1 − target gross margin percentage). A margin of 100% or more is invalid.
The default density of 148 lb/ft³ is an editable planning assumption. Actual Job Mix Formula, achieved field density, material gradation, source approval, quality-control test results, underlying conditions, project specifications, and supplier pricing can change quantities and cost. Supplier tickets for asphalt are normally sold by weight; cubic yards alone are not a standardized asphalt purchase quantity.

How many tons of asphalt do I need?
Multiply paved area by compacted thickness to find volume, then apply asphalt density and divide pounds by 2,000. Add waste for irregular edges, handling, and field variation.
Should I use direct square footage or length and width?
Use direct square footage when a plan, takeoff, or field measurement already gives a reliable area. Otherwise leave it at zero and the calculator uses length × width.
Why can a contractor quote differ from the modeled cost?
Access, drainage, grading, base repair, local plant prices, hauling distance, minimum mobilization, warranty, insurance, site conditions, and the exact specification can all affect a real quote.
Which asphalt mix name should I choose?
Use the contractor's mix designation, supplier ticket, Job Mix Formula, and project specification. Mix names and agency codes vary by state, municipality, plant, and supplier; the generic choices here organize a planning estimate and do not certify agency approval or equivalence.
Are reclaimed asphalt millings the same as new hot mix?
No. Reclaimed asphalt pavement or millings can be useful for a compacted base, budget surface, or temporary surface, but gradation, binder condition, contamination, processing, moisture, treatment, and compaction affect performance.
What is gross margin versus markup?
Gross margin is profit divided by selling price. This calculator divides cost before profit by one minus the target margin, so a 20% target margin is not the same as adding a 20% markup.
Does this replace a paving estimate or engineering review?
No. Use it to plan or review assumptions, then verify field conditions, drainage, base design, compaction, specifications, permits, and local rates with qualified professionals.
